Position Description

The Database and Grants Manager is responsible for the operation of the association’s management software/database and provides assistance to support grant reporting requirements.

Specific Responsibilities:

· Manages organization’s Association Management Software (Protech), including updating member information and developing/monitoring conference and meeting registration process.

· Codes account receivables and accounts payables in organization’s software systems.

· Performs administrative support duties including mail distribution, supplies ordering, and general bookkeeping.

· Manages all conference and meeting registrations, including developing registration forms and processes.

· Monitors credit card and check payments for deposit.

· Responds to member inquires.

· Perform grant-related post-award functions, including invoicing and financial reporting to funders.

· Work with third-party finance consultants to assure accurate grant backup is collected and submitted with individual invoices.

· Review monthly financial statements and work with organization leadership to assure grant budgets are on schedule.

· Ensure compliance of financial aspects with individual funder policies.

· Provide support as required for all audits.

· Work with leadership to maintain accurate and up-to-date grant files.

Skills/Experience Required:

The Information Systems and Grants Manager must be extremely organized and can troubleshoot, innovate, and problem-solve. Experience with information systems, association management software, general bookkeeping, and clerical duties are essential. Must be able to coordinate multiple tasks with strong attention to detail.

Educational Requirements:

A college degree is preferred with a focus on administration, information technology, or accounting is required, but additional qualifying experience may be substituted.
